The Australian Institute of Medical and Clinical Scientists (AIMS) is the peak professional body representing medical and clinical scientists in all disciplines of medical laboratory science working throughout Australia. AIMS focus is on providing advocacy, events, professional development, continuing education, and opportunities for research and innovation for its members.
About the role:
As the Administration and Operations Officer, you will be responsible for providing high level administrative support to the Chief Executive, President, Board, Branch and other committees along with general operational support of the office and wider teams. You also be responsible for collating content for the monthly member newsletter, social media calendar and updating the company website as required.
Responsibilities:
- Draft correspondence on behalf of the President and Chief Executive.
- Provide secretariat support for AIMS meetings, including preparation of agendas, minutes and reports.
- Develop organisational policies/procedures and support strategic and operational planning.
- Assist with office administration as required including managing phone lines and emails.
- Maintain and update internal CRMs (IMIS) and company website.
- Produce and distribute correspondence and communication materials as required ie. monthly member newsletter, social media calendar.
- Demonstrated experience in an administrative, operational or executive support role.
- Experience providing high level administrative support to executives along with updating policies and procedures.
- Exceptional communication both written and oral along with strong interpersonal skills.
- Proven record of attention to detail with a high level of accuracy.
- Demonstrated capacity for initiative, flexibility and the ability to work with limited supervision.
- Strong skills in Microsoft Office Suite and database management, experience with IMIS highly advantageous.
- Ability to multi task and work independently as a part of a small team.
- Experience working within a professional membership association.
- Experience within IMIS (membership platform).
