About the role:
An excellent opportunity has arisen for a proactive Admin & Events Coordinator to support a high performing team across a range of administrative, reception, and events.
This role blends administrative tasks with event coordination to support smooth operations and create impactful experiences. The ideal candidate is detail-driven, thrives in a fast-paced environment, and is passionate about achieving outstanding results.
As this is a vital in office role, ensuring that our clients, candidates and staff needs are met, we require the admin and events coordinator to work in our Sydney office full-time.
Key responsibilities :
Administration
- Oversee the Sydney reception area greeting visitors and managing calls
- Manage office facilities, stationery, merchandise and grocery orders
- Ensure all common areas, including the company’s kitchens and meeting rooms are clean and presentable.
- Manage booking calendars for rooms and resources.
- Prepare team performance data and reports for monthly meetings and collate feedback from review platforms.
- Schedule and organise internal meetings, training, team events, and external networking or training opportunities.
- Support HR with onboarding and offboarding of staff, from IT support, scheduling training, and completing new starter and leavers checklists.
Events
- Work closely with the Marketing & Communications Executive to ensure smooth running of all company and client events.
- Plan and manage events across the business, working with stakeholders and ensuring smooth execution.
- Coordinate in-office events for clients, candidates, staff and partners.
- Manage bookings and invites for networking groups.
- Coordinate with key speakers, event hosts, and specifical guests to meet event objectives.
- Assist the marketing team with technical set-up for events.
About You:
- You’ll have proven Admin, Reception or Office Management experience
- Prior events coordination experience highly regarded
- Strong organisational and multitasking skills with exceptional attention to detail
- Proficiency in MS Office
- Excellent verbal and written communication
- Strong customer-centric approach
- A proactive and flexible approach to problem-solving.
- Experience working under pressure and meeting tight deadlines.
- Collaborative team player.
- Proactive and results-oriented.
